[Debconf-team] Notes from reviewing bids. (And questions for teams)



Please note this is not covering every detail. (Apologies if I missed
something important.)

Team ranking:
--------------------
1) German team has the most people(13), who collectively have the most
DebConf experience.
2) Belgian-team close second (11), with 50%+ having attended DebConfs
in the past.
3) Swedish team seems too small (5) and most members are have never
attended DebConf.

Costs:
---------
Too many open questions:
Belgium needs a food cost estimate (Otherwise costs seem on the high
side of reasonable, and based on hostel costs, lower than the
Heidelberg DE bid. Can not compare to Munich as pricing is
incomplete.)
Germany needs to get a venue cost estimate for Munich. If DE can get
University venue at no cost, their bid looks the most cost effective.
If not Belgian bid is likely the most cost effective.
Not enough information to evaluate Sweden.

Venue:
----------
Munich and Belgian venues, both seem strong. Heidelberg venue seems
like rooms are on the smaller side, with the largest room having a
capacity of about 70?

Sponsorship:
-------------------
It appears that German has (by far) the strongest local pool of
potential sponsors. However, the vast majority are based out of
Munich, and the German team has indicated a preference for Heidelberg.

Location:
-------------
Munich seems the most well connected.
Can not judge Geography to say whether Belgium or Heidelberg is better
connected internationally.

Network:
-------------
Munich and Belgium seem adequate. Heidelberg does not.

Overall impressions:
-----------------------------
Swedish bid is not ready. German bid seems to be the most developed,
but still has major gaps. (Largely I am most concerned that team is
favoring a city where there are no local team members, and the city
where they do have a strong local team, the venue pricing is not
available even as an estimate.) Belgian bid is close to German bid in
preparation, however the lack of photographs by local team is a
concern. IE: Has local team visited venue/ accommodations?

Questions:
---------------
1) Germany: Is the choice of city likely to impact fundraising
success? (Most potential sponsors are in Munich)
2) Germany: What price should the committee consider for venue costs
in Munich? IE: Will the answer to the University hosting DC be
answered before decision meeting?
3) Germany: Why does German team favor Heidelberg?
4) Belgium: Food costs?
5) Belgium: Can local team take photos of venue and accommodations and
add to bid, before decision meeting?
6) Both: Family accommodations: Will family-rooms be available? If
not, will there be nearby (walking distance) hotels?
