[Debconf-team] Budget estimate for DebConf12

Hello team,

As requested at the last meeting, I'm presenting some details on our preliminary budget for DebConf12. All the prices are in USD dollars and the totals include the costs of the whole conference (venue, accomodation, food, travel sponsorship, etc). You can take a look at the budget spreadsheet in the debconf-data svn:

http://anonscm.debian.org/viewvc/debconf-data/dc12/budget-estimate.ods?view=log

==========================
Venue A (Crowne Plaza)

***Total costs: $160,912.50

* Housing . . . . . . . . . . $37,678.75
* Venue rental  . . . . . . . $42,090.00
* Food  . . . . . . . . . . . $23,603.75
* Travel sponsorship  . . . . $40,000.00
* Other . . . . . . . . . . . $17,540.00

The total costs of the Crowne Plaza venue can go down to aprox. $147K if we manage to get tax exemption (17% on rooms, 15% on other services and products). And if we negotiate a discount of at least 10% on top of that, the total cost would end up to $132K for the whole event.

Venue B (UCA)

***Total costs: $145,599.00

* Housing . . . . . . . . . . $51,477.00
* Venue rental  . . . . . . . $0.00
* Food  . . . . . . . . . . . $37,422.00
* Travel sponsorship  . . . . $40,000.00
* Other . . . . . . . . . . . $16,700.00

The total costs of the UCA venue can go down to aprox. $133K if we manage to get tax exemption (17% on rooms, 15% on other services and products). And if we negotiate a discount of at least 10% on top of that, the total cost would end up to $125K for the whole event.

Some final notes on the budget:

* The conference rooms and hacklabs will be provided free of charge at UCA.
* The costs of housing and food are more expensive at Venue B. The Central American University (UCA) is located on an upper-class neighbourhood and just three blocks away from the new Managua downtown. It's a better location than Crowne Plaza, but everything is also more expensive.

Questions, comments, thoughts?

Cheers,
