[Debconf-team] DC9 Global/Local team meeting minutes, 2009 April 14
Hello everyone,
Today from 1210 to 1317 UTC we had a global team meeting with lots of
local details. I (MrBeige) chaired. We are beginning to get the
details about what all will be paid for, and should have even more
details soon.
Also, big thanks to Marga and #-team for finishing the final DC8

We agreed 2009 April 27th 19UTC is the next global team meeting.
Marga and I are prodders so we'll be bothering you if stuff needs to
get done...

Minutes from whiteboard:
* Budget status
- Anto had two meetings with the local government(= city council)
- They have chairs for us to use, 200 or more
- We should get the real amount of money to book the venue this week
- Junta pays 100% of costs of venue and first residence, excluding
security, network, etc
- ACTION: list of technical requirements for the Junta
- ACTION: acquire a map of the venue.
* Accommodation status
- 220 beds so far, 287 registered attendees
- Localteam trying to get 30 more beds in an another place
- ACTION: list of hotels for other attendees (like one cheap, one
medium, one expensive)
- Muñoz Torrero will be paid 100% by Junta-- cost will be zero. (140
beds)
- Francisco de Sande has 70 beds, costs 24 or 30 euros per person.
* Network status
- Anto has meeting with Telefonica on Thursday
- They will probably pay network
* Sponsorship team status
- Telefonica meeting on Thursday (about network, see above)
- Meeting with Caceres2016 sometime (next week)
* Local legal entity
- Last meeting we decided to use FFIS (germany) unless there's a
good reason not to
- AGREED: it's final - FFIS e.v.
* Website updates
- List of things we'd like on the list: hotel list, bus share page,
accessibility info.
- Moray can work on website (not immediately) if need be
- ffis e.V. logo on website as our legal body.
* Registration/CFP status
- 287 registered attendees right now
- 54 submitted events
- ACTION: sgran/Ganneff closes request-sponsorship on penta tomorrow
at 24UTC
- We have 2-3 rooms for talks (?).
* Visa letters status
- Visa deadline is April 30th.
- Currently only 6 requests have been received.
* Accessibility
- Door widths checked at global team visit and didn't raise alarms
- ACTION: still need map
- ACTION: or just measure door sizes, if we can't get a map, that's
the most critical part.
- Localteam was considering changing venue to a new building that is
completely accessible.
- but it's farther away, we'd have to use buses - not good
- It's too late to change venues...
- Also, will the elevator be available all day long? Localteam
unsure.
- Ana/Luk/Tiago volunteered for helping with topics here.
* Any Other Business
- marga/MrBeige are prodders, work on making sure stuff happens and
keeping lists.
- Ganneff, etc can provide admin support: admin@debconf.org
* When is the next big global team meeting?
- Evenings are better for localteam, 19 UTC
