[Debconf-team] Minutes from the last meeting



Hi!

These are the minutes from the meeting held on Monday.

* Update regarding numbers

We currently have 226 attendees, 187 of them staying at the hotel. In
order for us to keep the good deal regarding people's stay at the
hotel, we need to get to 200 people at the hotel. That doesn't look
like a very difficult thing right now, though.  People are still
confirming, and if we still don't have 200 in a couple of weeks, there
are some who are "non-hosted" who would appreciate to be sponsored.

* Incoming/outgoing funds status - Travel Sponsorship status

Our budget is looking much better now.  Sadly, this is because a lot
of people aren't coming.  Since the donations from Intel and Nokia are
going to be a bit delayed, we are arranging for them to do them to
SPI, and we are getting the money that is currently at SPI into
Argentina.

Regarding Travel Sponsorship, we'll be able to sponsor everyone that
was approved, and hopefully we'll allow more people to come to
Argentina.  There's even extra money.  We can try to sponsor a small
group of the "rejected" list, but we should also save some money for
future DebConfs.

* Wired/wireless network planning status

As it was said in the previous mail, ISP is settled, first payment
(30%) made. The rest of the payment should be done when the link is
working. The link is to be installed in 2 weeks time. Traveler_ and
Tincho will be going down to MDQ to check on that. And they'll also be
checking/starting the wireless setup, which is going to be done with
borrowed openwrt APs.

* Sponsor Deadline

The deadline for sponsors getting on the t-shirt and the magazine is
end of this week.  We'll be adding all the "invoiced" sponsors.  If
any non invoiced sponsor wants to be included, it has to be settled
before Friday.

* Debian Day status

We need to find a new place for DebianDay, since place that we had the
planned is not available.  We also need to get more talks for
DebianDay, Maxy will be asking people that are staying if they can
give a talk.

* Schedule

The schedule team was not aware of how to use PentaBarf to prepare the
schedule.  Ganneff will be mailing them with information on how to do
this.

* Keynotes

We've added a new type of event: "Keynote".  We currently have 4
speakers for the Keynotes: Sledge, Bdale, MarkS and Bubulle. We can
still add two more speakers (one per day with talks). If there are any
suggestions for that, please mail me about it.

* Papers

We have no idea of how the collecting of papers is going.  I'll be
mailing zack to ask about this.

* Next Meeting

As I said, we are moving to weekly meetings for July.  So, next
meeting will be on Monday, July 7th 20:00 UTC.
