[Debconf-team] Minutes from Today's meeting



In an effort to keep the whole team informed of what's going on, here
are the minutes from the meeting that just ended on #debconf-team:

Regarding the reconfirmation/registration, we currently stand at 323 -
We are still open for a couple of days  (deadline is  May 2nd).
We can be a _bit_ lax regarding people who didn't register right on
time, as the registration/confirmation pattern is somewhat worrying
(moray noted). But in any case, we can be as strict as we need to on
food/accomodation.

The accomodation reservations are difficult to reduce, so we might end
up paying for extra people, and asking the Non-Sponsored-Hostel people
to pay us directly for filling the empty places.  The food budget can
be reduced as needed.

Cowgate (Scotland Hotels) have been paid in full.  BB haven't yet,
mainly because of their inner processes being a bit messy.

Accommodation should be sorted out better later this week.  We need to
make sure NSH people are finally sorted out.

Regarding finances, we are close to the target amount to cover our
costs. Formal dinner and daytrip are currently _not_ contemplated.

Cut-off date for Sponsors getting on T-shirts was 1st May. We can push
it a bit more, but not much.  After that, other sponsors can be
encouraged to sponsor specific events.

Some sponsors have stated that they want rooms or stands for them
during DebConf (O'Reilly, LPI, Siemens, Spotify). We've granted them
their wishes, provided that they donate enough money to cover for the
space they are taking up.

We should later discuss regarding on how we plan to manage sponsor
stands - maybe not for this time around, but for the future.

Regarding networking for the conference, it shall be provided by a
fiber connection to the University. It's a 100Mb link. This shall be
checked before DebCamp. Also, an ADSL line should be hired as backup.

Teviot Report missing since kevc was not around.
DebianDay Report missing since kevc was not around.  There's a *small*
amount of press work, but nothing publishable yet.

Regarding DebConf9, we will invite DC9 bidding teams to start putting
information online now (gwolf is in charge of preparing the mail).
Deadline is June 16th (DebianDay). There will be a DC9 session towards
the end of DebConf where teams shall have a small presentation (~10
minutes) and Q&A session.  Decision to be taken around 2 months after
DC7.

Next meeting: May 7th.  Less than 5 weeks before DebConf.
