[Debconf-team] Meeting summary for Monday 14th



Hi!  I was sick during Monday's meeting and thus could not minute it
as the previous two.  Here is a summary, made from reading my backlog:

Finances
--------

We're struggling. At the moment we have GBP 71k-ish committed to, and
we really want to hit GBP 90k-ish to pay everything (minus dinner and
daytrip - they're just not going to happen short of a miracle)

The plan is to ask for more money, but the current outlook is that we
will have to drop people from the bottom of the list of the travel
sponsorship.

A mail to people in the travel queues warning that we're short
wouldn't hurt as a warning. As it stands, queue B has no chance, A is
probable but people at the bottom may not get the money.

Note: people have already been mailed about what they've been granted.

Accommodation
-------------

We've been selling on spare spaces to folk who asked.

Currently down to just 8 spare slots. We've shuffled some beds from
debconf to debcamp, so we need to talk to the hostels about that.

Networking/infrastructure
-------------------------

We have an offer of adsl backup, but it looks to me like we might need
to go through BT to get the line activated, which will cost more than
the adsl backup is worth.

The IT people at the University have been asked to invoice DebConf
Ltd. for the money for the 100MB link to Teviot,  but the invoice
hasn't arrived yet.

Aruba is having resource problems. Luiz will come back from vacation
tomorrow, so we might hear news about it soon.

Regarding the cabling plan, mhy and sgran need to get together to
state how many switches we have and how much wire is needed.

The antennas that gwolf has at home will be needed for the wireless link.

T-shirts and proceedings
----------------------------

The deadline for logos on T-shirts is this Thursday 12:00 UTC.

Printing and etc of the T-shirts will be done in Mexico. It takes
around 2 weeks.  In parallell, a certificate of origin needs to be
requested by gwolf, so that the t-shirts can be shipped.

Banners are expensive and will probably not be done, since we lack the budget.

Other stuff
------------

Visas: we pinged people about their invitation letters: some already
have visas, some are waiting, one was denied a visa and I replied to
ask what the reasons given were

Next Meeting for DebConf7 is 21 May (< 3 weeks before DC7) at 20 BST / 19 UTC
