[Debconf-team] Meeting summary



Hi!

As I did last week, this is the summary of the meeting that just took
place on #debconf-team.

Accomodation
------------

We have 281 unused bed/nights. Worth 3.3k GBP. The spare beds are
being sold, and we are down to about 70 bed/nights to sell. After a
few days, Jon and psn will talk to the hostels to reduce any spare
bed/night not sold.  People who buy beds need to be invoiced.

Hostels are being paid.

TODO: we need to mail people about what they'll be given, regarding
accomodation.

Money-out group needs to have a meeting to decide what will be done
about people requesting exceptions.

DebianDay
---------

We have a couple of speakers but some are still missing. After that,
kevc is going to see about press releases to the appropriate channels.

kevc will try to get local sponsors to lend PCs.

Finances
--------

We are short on money. We need to try to save as much as possible.

Since there is not enough money, we are currently planning on doing a
cheap version of the dinner (reception + local dancing) and a free
version of the Day Trip (going to free museums and the like).

T-shirts and proceedings
------------------------

mhy is working on the proceedings. People need to be friendly-reminded
about sending the papers. Proceedings are currently 55 pages long,
will probably get to 100 when it's done. Cheapest options for printing
it still need to be found.

Regarding t-shirts, we are still looking into options. Doing them in
Mexico seems to be fine, but details have to be worked out.  Deadline
for sponsors being on the T-shirts and Proceedings is mid-may.

Teviot
------

Regarding Teviot, kevc has already informed the list. He'll meet with
them on Thursday to try to nail down the costs.

Since Teviot doesn't want to give us 24x7 access, the alternative
building (Bristo Church Hall) will be open for us during the nights.
We will have the first floor exclusive for us, and the ground floor
shared with public.  Ground floor has disabled access, First floor has
not.

DC9
---

Regarding upcoming bids, they should talk to Ganneff to get
debconf.net subdomains pointed to them. Also an announcement should be
sent ASAP.

Next Meeting is next monday, May 14th. 19:00 UTC / 20:00 GBP.
