After some IRC discussion, we agreed it'd be good to have Hotel sign
some contract, I have prepared something to use along the lines,
please edit as you see fit:

For completion, I'll paste here a current snapshot of the text you may
find in document right now:
Dear National Inn,
DebConf19 team is pleased to start working with you on our
preparations for DebConf19 event, international Debian software
developers conference, that will be taking place in Curitiba from
2019-07-XX to 2019-08-YY.
DebConf19, via Software in Public Interest (SPI), plans to advance a
payment of 10% of the hotel booking for the above mentioned dates,
which translates to an amount of XXYYZZ USD/REAIS
In exchange to have this payment down, we would like to plan down
for other payment milestones:
XXX: please review
- 50% in May XXYYZZ USD/REAIS
- 20% some other time XXYYZZ USD/REAIS
- 20% after event some other date XXYYZZ USD/REAIS
Making a total of XXYYZZ USD/REAIS after all payments are completed
To be able to proceed with following payments, a bank account number
would need to be provided and transfers will be send there on the
agreed dates.
We believe hotel booking includes accomodation for XX rooms,
breakfast, access to YY conference rooms and free drinks at the bar(No
free drinks :-))
In addition to current booking, we expect a big group of people will
be booking on their own for the conference, would you be willing to
promote your hotels allowing our attendees some promotion code they
could use when booking to get some kind of group discount.
Please at your best urgency provide DebConf19 with:
