I believe the relevant expressions here are:

 - Trust, but verify
 - With many eyeballs, all bugs are shallow

There is no magic checklist that, by ticking all the boxes, guarantees a
successful DebConf.  When people press for further details about the venue,
it's above all because they worry that we have not done a good job of
expressing to you as the local team what the real requirements are for a
successful DebConf.  It's in no way a criticism of your ability to implement
the requirements you *know* about, but a lingering fear that there will be
problems because of *hidden* requirements.

Please help the team help you, by being transparent and public about these
things.

Also, please remember that this is a Debian conference, and that it's in our
nature to second-guess every decision anyone ever makes... and try to bear
your fellow compulsive geeks with a bit of grace and humor. ;)
