Hi,
Today we had an intensive round of meetings with different parties at
the HUT campus. Lots of things were cleared up and agreed on. These are
the minutes and notes for all the meetings.
Building inspection (notes)
===========================
Location: Otaranta 8, Espoo
Time: 09:00 - 10:15 EEST

The building inspection was carried out in accordance with the housing
contract with TKY. All room types were inspected and the building was
found to be in generally good conditions. Pictures were taken of all
room types. Mr. Kauppila will draft the official inspection minutes
which will be signed by Linux-Aktivaattori representatives.
A few remarks were made:
On Thursday, 30th June, the rooms will be furnished with beds, chairs,
small bedside tables and kitchen tables (as applicable per room type).
Curtains might be provided but this depends on the Athletes Village
organizers who will rent the building after DebConf5.
On Friday, 1st of July, the keys will be handed over to a
Linux-Aktivaattori representative in accordance with the housing
contract. Fabian Fagerholm will represent Linux-Aktivaattori.
Details of network issues are handled separately.
Stoves will primarily be switched off. The organizers can switch the
stoves on if needed, but DebConf5 organizers are responsible for any
extra cleaning required as a result of messy cooking.
On Monday, 18th of July at 12:00, the building must be empty and
cleaned. At that same time, TKY, Linux-Aktivaattori representatives and
DebConf5 organizers will carry out the check-out inspection of the
building. Preferably the same people should be present as in this
meeting.
Network meeting

Time: 10:40 - 11:17 EEST

The HUT representatives described a network setup that would enable
DebConf5 to use WLAN services in the Computer Science department's
facilities as well as the Otaranta buildings and Smökki. A single
address space will be available in all locations.
For administrative and security reasons, the following requirements were
made:
* The DebConf5 network setup will need to be thoroughly documented
in advance, and the documentation has to be provided to HUT.
* DebConf5 servers must be allocated to specific addresses. This
allocation must be documented and provided to HUT.
* In the CS department, authentication for WLAN users will be
provided by DebConf5's RADIUS server.
* DebConf5 attendees must receive clear instructions that no
additional WLAN equipment may be plugged in. HUT network usage
rules apply, and are available in English.
The HUT representatives were informed that an Intel engineer will set up
the WLAN network.
Administrative meeting to sign Smökki contract
==============================================
Location: TKY Secretariat, Otakaari 11
Time: 11:20 - 11:40 EEST
The details of the Smökki contract were cleared, and the contract was
signed by Aschwin var der Woude.
Some additional instructions were given. In particular, a checklist for
initial inspection was provided. The inspection will be carried out when
the keys are obtained on Friday, 1st July.
The payment for Smökki and Rantasauna will be processed in the coming
days.
