Thanks for the feedback – the most important thing is the confirmation of the booking – so we keep the date. The numbers must be finalised one week before the event starts – after that the numbers can go up but not down.

Just an update, the team says your numbers looked good, and flexibility for alternate diets looked good too.
We want to know what is your flexibility in terms of numbers? How long before the event do you need rough numbers, and how long before the event do you need exact numbers?
Also, it seems like it will be something like a 3 day, 50 people, 7 days 300 people split, not 5 days each...

We are submitting a bid to host this and therefore required rough prices. The bid is submitted 1st of December, and we should know if we got it (likely, apparently :) ) by early next year. I see I omitted the numbers, we are looking at 200 - 300 people.
I am not sure what exactly we require yet, but at least sit down lunches, sit down dinners, coffee on demand (aka all day), and 20% at least vegetarian, we may even decide to go with a higher vegetarian ratio.
As it is so far in advance, we just need basic estimates at this stage.

I'm looking for good caterers who can do full hearty sit-down meals and then some for hard-working men and women and coders and devs and vegetarians and vegans and other fussy humans. Any recommendations please?
This is for the annual international Debian conference we're hoping to host in Cape Town in 2016.
(Debian is the precursor to Ubuntu and Linux and it's awesome).
